Tags


Tags are great to organize and classify your tasks and time tracked in TimeCamp. You can create your own lists with an unlimited number of tags inside. Tags can be added to projects, tasks, or even single-time entries. They will be helpful in reporting or making sure that you selected the correct time entries to be invoiced.

Tags are available in all subscription plans. Only the Administrator of the account can add and manage Tags.

First, it is necessary to create a tag list. Then only you can add tags to this list.


How to enable the Tags feature?

To enable the Tags feature, click on your avatar n the upper-right corner and select the Account Settings option.  Next, go to the Add-ons tab, find the Tags module, and click on the switch button to enable Tags. After the module is enabled click on its Settings.

Please be noted that only the Administrator of the account has access to Settings. 


After the module is enabled you can find the Tags section on the left side menu. If you decided not to use the Tags module you can simply disable it in the Add-ons tab.


How to create lists and add tags?

To create a tag list click on the  +Add tag lists green button,  name the list and click on the Add button. Tag lists show in alphabetical order.


Lists are not tags - you still need to add your tags to the list.


To add tags to your lists, navigate to the list and click on the button next to it. Type down the name of the tag and save it by clicking the Add button. 


How to assign tags to a specific group of users?

You can assign selected tags to specific user groups. This allows you to block the use of a particular tag for unselected groups. 

To assign a tag to the desired group of users click on the gear next to the name of the tag, select the group or groups you want from the dropdown list and click on the Add a group button. 

Afterward, only selected groups will be able to assign the selected tags.

By default, all tags are available to all groups.


How to use and assign tags?

You can assign your tags to projects, tasks, and specific time entries.  Tags may be very useful for reporting purposes as you can simply filter any report by your Tag Lists or Tags.

Popular usage scenarios for Tags:

  • Tags as Clients – name your Tags after clients and while tracking your time and selecting a project, assign a specific Client to the time you have tracked. This will allow you to not only group your time by projects but by clients as well.

  • Tag Lists as Tasks template – in case you’d like to use the same set of subtasks for any project you work on, instead of manually creating subtasks within each project you can set up a Tag List with subtasks as Tags. Such a list can be easily updated later on in case you’d decide to add or remove some elements from it.

  • Labels / Categories – in case you need to label your time in any way, you can use Tags to accomplish this goal. Your needs determine what you’d use labels for. For example, you can now Tag your overtime work or divide your time tracking into personal and professional tags.

There are a few ways you can assign tags to tasks and tracked time:

  • Assign tags to a project - go to the Projects tab, click on the desired project to open the edit panel, and scroll down to the Tags section. Next, click on the Define tag list, select chosen tags (or a full list of tags if necessary) and click on the green Apply button.


  • Assign tags to a task - go to the Projects tab, expand the desired project, click on the task to open the edit panel, and scroll down to the Tags section. Next, click on the Define tag list, select chosen tags (or a full list of tags if necessary) and click on the green Apply button.

Once you define tags for a specific project or task, you will not be able to add other tags to time entries belonging to that project/task.


  • Assign tags to a time entry - while creating a new time entry choose a task in the Select task and project field, then click on the Select a tag button below the name of the chosen task. Click on desired tags and click on the green Apply button to successfully add a tag to your time entry.



You can also assign tags to the already created entries later by clicking on the Add a tag button.


Tags can be also added from the desktop app and mobile app.

If you don't see the tags you want to add to the task make sure that your user group has permission to add them or if this particular project has a defined tag list and doesn't include that tag.


Mandatory tags

Mandatory tags are automatically assigned to a task on the timesheet when the timing for that task begins and they cannot be removed by users

Mandatory tags are available only in a Pro plan.

To enable this option, go to the Projects tab, click on the project or task you wish to add mandatory tags to, and assign tags as mentioned in the paragraph above. After assigning the tag, check the Mandatory box next to the tag’s name.


That’s it - now each time you will start tracking time to a task with a mandatory tag it will be added to the time entry automatically.


Archiving tags

In case you do not need a specific Tag List or Tag, you can archive it at any time. Archiving Tags will not affect the tracked time and will not remove tags assigned to your time entries.

Navigate to the Tags tab on the left side menu and click on the Archive icon next to the list or next to the specific tag to archive it.


You can reactivate them at any time if necessary. To do so click on the Show archived tags button and restore them with a Reactivation button.

We don't provide an option to entirely delete tags from the system.
